Suggestions for Vistage Hosts

The following is a checklist that may be helpful in hosting your meeting:

ROOM SET UP:

  • Conference-style seating so everyone can see each other – "O" or square shape
  • Two flip charts, markers, and masking tape to post charts
  • Optional – overhead projector/screen – check with Chair to determine need
  • NOTE: Gil needs to do his set up at least 45 minutes before the scheduled arrival of members.  He also will need about 30 minutes at the end of the meeting to pack up.

CHECK FOR OUTSIDE DISTRACTIONS:

Eliminate outside distractions such as

  • Telephone ringing inside meeting room
  • Voices/noise from adjacent rooms/hallways
  • P.A. system with piped in music or announcements

GENERAL SUGGESTIONS FOR HOST:

  • If making conference room reservations, please use "Vistage" name for easy access.
  • If appropriate, have directional signs posted for Vistage meeting.
  • Have coat racks available when guests arrive.
  • Tell people where washrooms are located.
  • Keep to your time schedule for breaks and lunch.

Make arrangements to have someone deliver phone messages to you or to the other participants only during breaks.

HOST PRESENTATION

I'd like to invite you to take about 1/2 hour of the meeting to tell us more about your company. Think of this as a time to fill in the details about your specific role, challenges and opportunities, current financial situation and trends, business vision. This is a business overview/update that we'll incorporate in all future meetings. You might also consider whether to give us a quick tour and/or introduce us to some key people who you may be talking about in our meetings. Sometimes, the hosts have even had their people do some of the presentation. Go to the Member Introduction page on this website  Refer to B and C to help you fill in some details.

If this is your second host presentation, consider what membership changes, if any, have occurred since you did your last host presentation.  Decide what parts of the above paragraph still apply.  Then, use the Competitive Strategy Analysis Questionnaire to help prepare more information about your market position now and into the future. Other members will want to know where you're going and how you plan to get there.  This will help us help you achieve your plan.
